  1. Call to Order 1:05 PM
  2. Confirmation of quorum of board members (6/6).
  3. The President introduced the board members to the Zoom participants: Vice President Jim Henshaw; David Grove President Emeritus; Julian Sale Director; Ted Davies Secretary; Maya Gabrovska Treasurer; Glenn Garry President.
  4. The minutes of the October 2024 AGM were reviewed by Ted Davies. Their acceptance was motioned by David Grove and seconded by Maya Gabrovska and carried.
  5. President’s Message: Some years ago, it was predicted that by 2024 the VicEVA would be drawing down its activities and be mainly focused on sharing first generation EVs at local car shows. However, in recent times the world has changed with much controversy over adoption of EVs. As a result, VicEVA has done a heightened amount of advocacy in the community and with politicians both provincially and federally on both EVs and on solar power. We have sought out and worked with allies across Canada and globally in support of our goals. VicEVA continues to look for opportunities to advocate for EVs and clean energy, especially solar. Our association, made up entirely of volunteers has been very active throughout this past year. We are an independent voice for the owner/citizen. Many thanks to board members of the VicEVA for their volunteer actions in support for the electrification of transport and for implementation of solar power. It appears that the continued efforts of the board and all our members will be needed for many more years.

 

  1. Financial Report and Budget. Treasurer Maya Gabrovska provided a screen share of the financial report for 2024-2025 (enclosed). In summary:
  2. Our balance in the bank at the start of our year July 31, 2024 was $372.50 with the balance at year end July 31st, 2025 being $1359.87. Our dollar amount coming in exceeded our expenses for this year!
  3. There were several very generous donations to the Association amounting to $9015 which is much appreciated. Glenn highlighted that many of these donations are not recurring and cannot be counted upon to occur each year.
  4. Major expenses were for advertising and promotion of which about $3,000 is for ECO Night as a very big share of what we do; Insurance and on-going server expenses are the other most significant expenses. Expenses for this past year were somewhat lower than previous years.
  5. The association was able to reduce insurance costs with a change to a different insurance company for directors’ insurance.
  6. Glenn commented that the donation attributed to him actually came from another Association member who asked to remain anonymous. In addition some portion of the donations are non-recurring which cannot be counted on to occur each year.
    David Grove made a motion to accept the financial report, seconded by Julian Sale and carried.

 

  1. Summary of Victoria EV Association activities and engagements since 2024 AGM: Glenn Garry described the engagements and activities of the Association over the past year. See the attached summary slides.
  2. Recognition of Retiring Board Member: Heather Kellington, a director of VicEVA has resigned from the Board. Many thanks to Heather for her service to VicEVA.
  3. Requirement for new members for the Board of Directors: Glenn indicated we are now down to six members on the Board. We need a new director to help especially in the area of running chats and exploring areas for fundraising for the Association. There is a heavy majority of over sixty-year-old males on the Board so any volunteering by a female would aid in the Board’s diversity. If you would like to join the Board or know of a good candidate, please contact a Board member.
  4. Sponsorship Update and Acknowledgement: Jim Henshaw thanked our sponsors Motorize, , Salt Spring Island EV Association, Edwards Electric, Shift Energy Group and Clean Air Yard Care. Jim indicated that our sponsors have been helpful on multiple fronts. Jim said that the Board is actively negotiating with three other potential sponsors. Stay tuned! He is seeking one or two sponsors that would support ECO night.
  5. Planned Activities for 2025/2026: Glenn Garry and Jim Henshaw highlighted planned activities for the coming year – see attached slide.

    New Business
  6. Funding of VicEVA Activities: Glenn Garry indicated that the Board’s goal is to be able to afford current and additional activities.
  7. Other Topics from Membership:
    1. It was questioned what number of Board members is a full slate. The answer is 7. Glenn indicated that new people will help us get a diversity of views. Jim requested that members get in touch with the Board to volunteer for the Board or suggest others.
    2. David Grove offered thanks for the great weekly newsletter published by VicEVA. It is a remarkable tool to inform members and support our sponsors. Many thanks to Jim Henshaw!
    3. Andrew asked whether anyone has approached a sustainable ethical financial services company as a possible sponsor. It may be a real positive for such a company to connect with VicEVA members. Glenn asked Andrew to pass some further thoughts on this topic to Jim Henshaw.
    4. A question was raised about whether there are membership fees for VicEVA. It was responded that the philosophy is to have no membership fee so there is no financial barrier to join the organization.

  9. Adjournment: David Grove moved the meeting be adjourned; seconded by Ted Davies. Carried. The meeting was adjourned at 1:45 PM.
